2. Information we collect

We collect only what we need to respond to and fulfil business requests.

• Identification and contact data: name, company, business email, phone, country.
• Request data: products, quantities, specifications, target prices, destination, Incoterm, deadlines and any files you attach.
• Account data: email, authentication identifiers and role, for authorised users.
• Transaction data: quotations, orders, shipments, documents and correspondence.
• Technical data: IP address, browser user agent, timestamps and log records, including the evidence we store when you accept a legal document.

3. Why we use it and on what legal basis

• To respond to your request and prepare quotations — performance of a contract or steps taken at your request.
• To source, verify and engage suppliers and to execute orders and shipments — performance of a contract.
• To keep audit, consent and compliance records — legal obligation and legitimate interest in accountability.
• To secure the service and prevent abuse, including rate limiting — legitimate interest.
• To send service and transactional messages about your request — performance of a contract.
• To send commercial messages where you have opted in — consent, withdrawable at any time.

4. Automated processing and AI assistance

We use AI tooling to draft internal summaries and reply drafts and to help compare supplier quotations. AI output is a decision aid only: every customer-facing message and every commercial decision is reviewed and approved by a person before it takes effect. We do not make decisions producing legal or similarly significant effects about you by automated means alone.

5. Who we share it with

We share personal information with suppliers and manufacturers to the extent required to source your request, with logistics, customs, inspection and payment providers, with our hosting, database, email and AI infrastructure providers acting as processors, and with advisors or authorities where legally required. We do not sell personal information and we do not share it for cross-context behavioural advertising.

6. International transfers

Sourcing is international by nature. Your information may be transferred to and processed in countries other than your own, including the United States and supplier countries in Asia, Europe and the Americas, which may not provide the same level of protection as your jurisdiction. Where required, we rely on appropriate safeguards such as standard contractual clauses.

7. Retention

We keep quotation and enquiry records for as long as needed to serve you and then for the period required for tax, customs and commercial-claims purposes, typically up to 7 years. Consent and audit records are kept for as long as the related record exists. Account data is kept while the account is active.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete, port or restrict the processing of your personal information, to object to processing based on legitimate interest, and to withdraw consent. California residents may request disclosure of the categories collected and may exercise their rights without discriminatory treatment. 9. Security

Access to operational data is restricted by role and enforced at the database layer. Actions on business records are written to an immutable audit trail. Files are stored in access-controlled storage and shared through time-limited links. No system is perfectly secure; please do not send us information you do not want stored.

10. Children

This is a business-to-business service and is not directed to children under 16. We do not knowingly collect their information.

11. Changes

We may update this Policy. Each version carries a version number and effective date, and consents we record store the version shown at the time.
